Success stories of the X-ray File Services Program:

A large metropolitan hospital network was in need of a partner to manage a file project. One area hospital was closing in a few months. The x-ray files need to be purged, eliminating the 1995 through 1997 file years. The Pediatric and Mammogram files needed to be separated for their longer retention period.

A second location at an offsite building for another hospital in the network required the 1994 through 1997 files to be purged, leaving the Pediatric and Mammogram files for the longer retention period. The remaining files were back shifted to make room for additional files from the first hospital to be moved into the available space.

The 1998 through 2002 files from the first project were packaged and transported to the offsite building. The files were organized on the empty shelves remaining in the building.

All of the purged files were pulled and packaged for transportation to a recycling factory. The files were destroyed according HIPAA standards for privacy.

XMP Solution – Over the course of four weeks, XMP managed the entire project. Segmenting the work into five phases, XMP purged files from the first hospital in phase 1. Moving to the second building, XMP completed the phase 2 file purge and phase 3 back shift. Moving the files from the first hospital to the second offsite building completed phase 4. Lastly, all of the old files were destroyed meeting all HIPAA guidelines.

Hospital Benefits - The hospital was able to meet their time table two weeks ahead of schedule and $8,000.00 under budget. XMP was able to keep the error under 1%, exceeding hospital guidelines.



Success stories of the X-ray Management Program:

A large metropolitan hospital has initiated the conversion to a PACS system. Even with the installation of a PACS system, we have the ability to create an impact for the customer. The hospital maintains the most current two years of files upstairs in the department. The remaining three years are stored downstairs in an auxiliary file room. Space is a major issue, with the hospital looking to add additional revenue generating equipment to the department.

XMP Solution – XMP has initiated discussions to implement our X-ray Management Program to create space for new equipment. XMP would remove the oldest three file years downstairs to create an empty space downstairs. The most current two file years would be moved downstairs.

Benefits - The benefits could be major for the hospital. The simple reallocation of full time employees to revenue generating tasks will more than cover the cost of the XMP program. The floor created upstairs in the prime location will provide the necessary space for two new diagnostic rooms. The new diagnostic systems will generate enough revenue to pay for the PACS system.



A mid-size rural regional hospital is reviewing the services provided by XMP compared to a large national provider. Initial indications are that the national provider would offer significant saving without changing the service level required to manage the files. Questions concerning each company’s ability to meet the requirements for retrieval rates, annual file purges, and partnering to meet HIPAA guidelines were extensively evaluated.

XMP Solution – XMP was able to systematically review each of the standards the hospital would require from the vendor of choice. On every single issue, XMP’s standards either met or exceeded the requirements set forth by the hospital. The national provider set restrictions or added charges to significantly increase their fee structures to accommodate the hospital requirements.

The Situation:
As the administrator of the radiology department, Dave recognized the legal and diagnostic benefits of a PACS system, but didn't think they could afford the downtime required by other providers for a lengthy installation process and training period.
